Manager Approving & Viewing Time Off Requests

Overview

This article explains how managers can view and approve time off requests submitted by their team in Shiftlab. It provides instructions for accessing the portal, reviewing requests, and managing approvals.

When to Use This

  • To review time off requests from your team

  • To approve or decline requests based on schedule availability

  • To manage paid and unpaid time off in alignment with company policy

Step-by-Step Instructions

1. Access the Time Off Request Portal

  1. Log in to Shiftlab.

  2. Click the calendar icon in the top-right corner to open the Time Off sidebar.

2. Toggle to Team Requests

  1. In the portal, toggle from My Requests to Team Requests.

  2. My Requests displays your personal time off submissions.

  3. Team Requests shows all submissions from your team that require your approval.

3. Review Time Off Requests

  1. For each request, you will see:

    • Employee name

    • Type of leave (vacation, personal, etc.)

    • Paid or unpaid status

    • Date submitted

    • Requested date(s) and whether it is a partial day, full day, or range

  2. Requests are displayed in chronological order and, for high-demand days, in order of submission.

  3. Leave types are based on your company’s policy and may vary.

4. Approve or Decline Requests

  1. Click Respond on a request to view it directly on the schedule.

  2. Assess the impact on your team’s schedule.

  3. To approve, click the green check mark.

  4. To decline, click the decline option.

  5. Refresh the schedule to see updates.

5. Schedule Visibility

  • Approved paid time off appears in pink on the schedule.

  • Approved unpaid time off appears in blue.

  • All time off requests can also be viewed directly on the schedule without opening the portal.

Key Details & Definitions

  • Team Requests: Displays all time off requests submitted by employees reporting to you.

  • Paid vs. Unpaid: Paid time off is shown in pink; unpaid time off is shown in blue.

  • Partial Day / Full Day / Date Range: Indicates the duration of the requested time off.

  • Respond Button: Opens the schedule for the requested date to approve or decline the request.

Troubleshooting & FAQs

I don’t see Team Requests.

Ensure your account has manager-level permissions to approve requests.

Request overlaps with schedule.

Use the Respond button to view and adjust schedules before approval.

My approved requests are not showing on schedule.

Refresh the schedule after approving the request.
