Overview

Managers use the Shift Swap Portal to monitor and manage employee shift activity. Managers can view pending requests, cancel unwanted swaps or drops, and publish open shifts when coverage is needed.

Step-by-Step Instructions

View Pending Swap and Drop Requests

  1. Open the Shift Swap Portal.

  2. Review the top section labeled Pending Team Requests.

  3. Identify any pending swap or drop initiated by employees.

Cancel a Pending Request

  1. Locate the pending swap or drop you want to cancel.

  2. Select the X icon.

  3. Confirm the cancellation to remove the request from the Shift Swap Portal.

Create and Manage Open Shifts

  1. Open the Schedule.

  2. Create an Open Shift when staffing coverage is needed.

  3. Save the schedule.

  4. The open shift becomes visible to all employees assigned to the store (if open shift visibility is enabled).

  5. Employees can claim the shift directly from their Shift Swap Portal.

Monitor Open Shift Claims

  1. Open the Shift Swap Portal.

  2. View which employees have claimed available open shifts.

  3. Confirm that the schedule updates automatically after claims.

Key Details & Definitions

  • Pending Team Requests: All active swap and drop requests submitted by employees.

  • Manager Cancellation: A manager can cancel any employee’s pending swap or drop at any time.

  • Open Shift: An unassigned shift created by a manager and made visible for employees to claim.
