This article explains how managers and administrators can invite employees to Shiftlab and provide them access to their schedules. Employees must receive an invitation before they can log in, even if they already appear in the employee list.

When to Use This

Use this guide when:

  • An employee needs access to Shiftlab.

  • An employee has not received their invitation email.

  • You need to resend an invitation.

  • An employee is having trouble logging in.

Step-by-Step Instructions

1. Understand User Access Requirements

  1. Employees may appear in the Employee List and may be scheduled, but they cannot log in until they receive an invitation.

  2. Invitations are sent individually or in bulk by managers or administrators.

2. Invite or Reinvite an Employee

  1. Open the Employee List.

  2. Select the employee who needs access.

  3. In the employee profile, select Resend Invite (top right corner).

  4. Enter the employee’s email address or confirm the email already listed.

  5. Save the update to send the invitation email.

3. Confirm Invitation Delivery

  1. The employee will receive an email containing their access link.

  2. Direct the employee to follow the setup steps in the email invitation to create their password and log in.

  3. Refer them to the employee authentication article, if needed.

4. Support Employees Who Already Accepted an Invite

  1. If the Resend Invite button is not visible, the employee has already:

    • Accepted their invite,

    • Created a profile,

    • Logged into Shiftlab.

  2. If the employee cannot log in:

    • Direct them to your organization’s login page:
      https://[YOUR DOMAIN].myshiftlab.app/

    • Have them select Forgot Password.

    • Confirm the correct email address in their employee profile to ensure a successful password reset.

The employee never received the invitation email. What should I check?
Confirm that the email address in their employee profile is correct.

The resend invite button is missing. Why?
The employee has already activated their account. Have them reset their password from the login page.

The employee cannot reset their password.
Verify the email address in their profile matches the one they are using to log in.

Can I invite multiple employees at once?
Bulk invitations are typically handled by administrators. Confirm your organization’s process.
